The American Veterinary Medical Association (AVMA), the national nonprofit association established in 1863 representing 111,000+ veterinarians working in private & corporate practice, government, industry, academia, & uniformed services, is seeking an Exhibits & Meetings Coordinator to join our Convention & Meeting Planning team, located at our Headquarters office in Schaumburg, Illinois – a northwest suburb of Chicago. AVMA’s mission is to lead the profession by advocating for its members & advancing the science & practice of veterinary medicine to improve animal & human health.

Reporting to the Assistant Director of Convention Sponsorship & Exhibits, the Exhibits & Meetings Coordinator provides support for exhibits & internal meeting management for the Convention & Meeting Planning Division. They will assist with exhibit management & support, logistics & scheduling for meetings held at AVMA offices, as well as onsite support during the AVMA Convention & Veterinary Leadership Conference (VLC).  Up to 10% travel.

To be successful in this role you must be highly collaborative & passionate about AVMA’s mission. Additional qualifications include:
  • BS/BA Degree or equivalent experience.
  • Minimum of 5 years of related administrative or meeting planning experience, not-for-profit association experience preferred.
  • Must have excellent verbal & written communication skills & be capable of delivering clear messages through verbal, written, & listening skills.
  • Must be highly organized with strong attention to detail, as well as excellent project management, planning, & organizational skills.
  • Professional attitude & appearance.
  • Must be able to work as a proactive, collaborative member of the Division team to plan events
  • Must be analytical & a problem solver.
  • Must be proficient in Windows applications, spread sheets, databases & have aptitude to learn new programs.
  • Able to work independently with limited instruction & exercise sound judgment within defined parameters.
  • Must be able to travel on behalf of the association as needed.
  • Must be able to work outside of normal business hours as needed.

A reasonable estimate of the current base pay range for this position is $55,000 - $62,000. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, & organizational policies. In addition to these factors, we believe in the importance of pay equity & consider internal equity of our current team members as a part of any final offer.
